DATA PRIVACY POLICY
Zenshin Systems Corporation (also referred to as “ZSC”, “Company”, “we”, “our”, “us”) created
this policy to respect your privacy and protect your information based on the Data Privacy Act of
2012, the Implementing Rules and Regulations of the Data Privacy Act of 2012
POLICY SCOPE
This Policy is applicable to all data we collect from you, including but not limited to data gathered
from various interactions, transactions, forms, cookies, and other means of collection. With
consideration to provide transparency into our privacy practices and how and why we collect data,
what we may use it for and who we may share it with.
DATA WE COLLECT AND PROCESS
ZSC implements a close system wherein no data collected from you is posted online.
The Data collected includes, but is not limited to:
• Details to identify an organization and/or individual, such as names, gender, date of birth and other personal identification numbers;
• Contact details, such as mailing address, phone number, email address;
• Other business information like SEC, BIR Registration, VAT number, TIN number, Mayor’s permit, financial statements and other permits and documents which may help us ascertain validity and credit information of a person/organization;
• Business contact information, such as the contact details of the employees of our vendors and corporate customers; and website cookies, which may include, but not limited to, IP address, username, user location;
• Service request details, data and equipment logs, fulfilling equipment warranty obligations and other service request pertaining to the course of our business and or rendering our service;
• Data collected is stored in our internal system purely for use in our day to day processes and transactions between us and our customers.
Sensitive Organization and Personal Data
All data collected are considered sensitive under applicable law, we will collect and process these sensitive data within the limits provided by said law and shall treat the same with utmost care and confidentiality.
We strive to limit the collection of any sensitive data. Our policy limits the handling of your data including magnetic storage replacements and upgrades of which we practice “leave everything and take none”. We do not perform any backups to an external storage, we do not transmit any of your data outside of your network.
Any exceptions from our data handling policy should be with your written authorization.
We will take strong action to mitigate and respond in the event that your data are unintentionally, intentionally or maliciously leaked out or our system breached.
How Data is Collected
• We may ask you to fill up real or virtual forms during our transactions.
• you use some services through SMS, IM apps and other mobile apps to send us your information.
• You voluntarily submit your data to our system, representative and contacts.
Purpose of use for Data
We use data collected for only the following purposes:
• To administer and keep records or our transactions;
• To process or to complete an order or transactions;
• To ship products to you;
• To respond to your inquiries;
• To observe and enforce compliance;
• To notify you of sales related and service issues, should any occur;
• To provide you with updated information regarding products, services, technology, events and campaigns via invitation letters, e-mail or other means;
• To carry out other legitimate business purposes;
Our Employees Personal Information
• Internal communication with our employees for work or other purposes;
• Processing compensation (such as salary, bonus and allowances), human resource and labor management, and providing employment benefits;
• Internal Work processes;
• Management of personnel training and development;
• Career planning for promotion and business continuity purposes or securing the economic interests of the company;
• Intradepartment, systems and process development; and
• Health management of our employees.
Provision of Data to third parties
(1) We will not disclose any Data to any third parties except in the following cases:
• If you have agreed to the provision of your data;
• If it is necessary for the preservation of life, body or property, and the relevant consent(s) cannot be easily obtained
• If the handling of data has been entrusted in whole or in part to a third party within the scope necessary to fulfill the purposes of use (selecting and entering agreements with our contractors on the handling of data, and directing and supervising our contractors as necessary);
• If it is necessary to process or complete a transaction.
• Where required by applicable laws or regulations.
Where we store your personal data?
Data is stored in our internal database on-premise, private and/or public Cloud for Disaster Recovery and Business Continuity requirements.
Security of Your Personal Information
We ensure that all personal data collected will be stored and protected. We protect your personal data by:
• Restricting access to personal data;
• Authenticate users and store system logs to prevent unauthorized computer access and keep
usage trails.
• Securely destroying your personal data when it is no longer needed for any legal or business purpose
• We use industry standard encryption technology and regularly run vulnerability scans and other maintenance activities to ensure that your data and our Platform are secure.
No Spam, Spyware, Or Virus
Spam, spyware or virus is not allowed on Platform. We took stringent cybersecurity measures to
prevent these.
Retention Period
We reserve the right to retain and keep your personal and/or organization information until
necessary for business, tax, or legal purposes, and/or for as long as needed.
Others
The Company reserves the right to change or revise this policy from time to time without prior
notice. This is to update any changes in its procedures for protecting personal information or any
regulatory change to comply with the mandate of the Philippine Data Privacy Act of 2012 (R.A.
10173, hereinafter “DPA”) and other relevant laws, rules and regulations.
